Export Process Walkthrough
This walkthrough guides you through a complete export transaction in TRADEXIM OS — from initial customer inquiry through to payment collection and shipment closure.

Step-by-step guide
Receive customer inquiry
Check customer details in your database or add a new customer with company info, contact details, and credit terms.
Create quotation / proforma invoice
Navigate to Export Management, select the customer, add products with quantities and prices, set Incoterms and port details, specify payment terms, and save.
Confirm order
Once the customer accepts the quotation, update the proforma invoice status to Approved, record any final price adjustments, and notify the operations team.
Prepare pre-shipment documents
Generate packing lists, commercial invoices, certificate of analysis, pre-shipment inspection certificates, and bill of lading draft.
Book and manage shipment
Create a shipment record in Shipment Management, link it to the proforma invoice, select shipping line and vessel, add containers, and track milestones.
Cargo loading and vessel departure
Update shipment milestones as loading starts and completes, then record vessel departure with actual date.
Issue post-shipment documents
After sailing, issue final BL, final commercial invoice, certificate of origin, beneficiary certificate, and insurance certificate.
Payment collection
Track payment in the Finance module, send reminders as due dates approach, reconcile received payments, and mark invoice as paid.
Close shipment
Verify all milestones are completed, review shipment profitability, archive documents, and close the shipment record.
